Airport pick-up service

We understand that travelling on your own to another country can be scary and we want to make your journey as simple and stress-free as possible.

All new international and EU students have the opportunity to book the free airport pick-up service we recommend.

If you reserve this, an international ambassador will meet you at arrivals hall at the airport, and take you directly to your campus accommodation.

Below is useful information about how the airport pick-up service works for your chosen course.

Programmes starting September 2019

  • Book your place

    For all new international and EU students, the Airport Pick-Up service is FREE of charge but you do need to book your place so we can arrange the service for you.

    The service is only available on the designated weekend of September 20 as follows:

    Heathrow Airport only

    Terminals 2,3,4,5

    • Saturday September 21: 10:00am, 2:00pm, 10:00pm   (Rochester and Canterbury campuses)
    • Saturday September 21: 10:0am,   2:00pm, 10:00pm   (Farnham and Epsom campuses)

    Terminals 2,3,4,5

    • Sunday September 22: 10:00am, 2:00pm, 10:00pm   (Rochester and Canterbury campuses)
    • Sunday September 22: 10:00am, 2:00pm, 10:00pm   (Farnham and Epsom campuses)

    One of our international ambassadors will meet you at your respective terminal with a UCA sign inside the arrivals hall.

    The international ambassador will then accompany you to the coach and then to your respective campus of study.

    Please allow a minimum of 90 minutes after your arrival at the airport and the pick-up time slot in case of any flight delays and clearing immigration.

    We will send you a confirmation email from us with more detailed information. Alternatively, you can simply email airportpickup@uca.ac.uk for more information.

  • Arriving outside the designated dates

    The airport pick-up coach service is free of charge for all new international and EU students on the designated dates and time only. If you arrive outside the set dates, you will need to make your own way at your own expense.

    We do recommend to use a reliable taxi company and you can book in advance by contacting them directly. Please make sure you include all the following information when you book the taxi:

    You will be met by your taxi representative at the arrival lounge 90 minutes after your flight if you book it in advance. If you cannot find a taxi representative, your first point of contact is the taxi company. Please ask the taxi company to send you a confirmation email.

    How much does it cost?
    The airport pick-up coach service is free of charge for new international and EU students only. 

    Who is entitled to use the service?
    All new international and EU students.

    What do I do if my flight details change after booking?
    Email airportpickup@uca.ac.uk and inform us of the change. Please include your student number in your email. 

    What if my flight is delayed?
    We regret to inform you that we will not be able to wait. The coach service will depart at the set time.

    What if I am delayed in Customs, I get lost or I can't find the driver?
    You will be given a contact detail of a reliable taxi company so that you can call and book a taxi. You will have to cover the cost of the taxi by your own means. You will also be given the number of the UCA airport pick-up Co-ordinator's emergency phone number in case of emergency. 

    If I arrive at night or early in the morning, can I still use the service?
    We will not be able to provide a free bus service for outside the designated dates and times. If you arrive outside the set dates and time, please arrange a transport on your own. Please refer to Arriving outside the designated dates section for more information where you will find a contact detail of a reliable taxi company so you can book a taxi in advance.   • Terms and conditions

    These are the terms and conditions for using our Airport pick-up service:

    • By booking the airport pick-up service you are agreeing to UCA's terms and conditions.
    • Please turn on your mobile telephone when you enter the terminal building at the airport. You will need to provide us with this telephone number when booking.
    • If you are delayed a long time, you should call the UCA airport pick-up international ambassador (on the telephone number provided after booking). We will not be able to change the departure time: therefore please bear in mind that you may have to book your transfer on your own in case of any delay. 
    • If you cannot find a coach representative  at the designated meeting point, dates and time, you should call the UCA airport pick-up international ambassador (on the telephone number provided after booking).
    • Under no circumstances should you leave the airport other than with your UCA representative, as this will incur additional charges. 
    • If you wish to cancel a booking before your arrival date you should email airportpickup@uca.ac.uk as soon as possible. 

Pre-sessional English (5 or 10 week) courses

  • Book your place

    For all new Pre-sessional students, the Airport Pick-Up service is FREE of charge but you do need to book your place so we can arrange the service for you. The booking link will be made available in the next few days.

    Who is entitled to use our free Airport Pick-Up service?
    All new international Pre-sessional English students on the 5 week and 10 week courses.

    What do I do if my flight details change after booking?
    Email airportpickup@uca.ac.uk and inform us of the change. Please include your student number in your email. If it is an urgent change, please call your taxi or minibus representative, or UCA international student ambassador directly.

    When will the representative meet me at Arrivals?
    The taxi or minibus representative will meet you at arrivals hall 45 minutes after your plane lands. 

    What if my flight is delayed?
    Your taxi or minibus representative will check your arrival time and will be there to meet you 45 minutes after you land, even if your flight is delayed.

    What if I am delayed in Customs, I get lost or I can't find the driver?
    Don't worry! You will also be given the number of the UCA Airport Pick-Up international student ambassador who you should call in case of any other problems.

    If I arrive at night or early in the morning, can I still use the service?
    Yes you can, but we do recommend that you try and arrive between 9am and 5pm, so you can meet our accommodation team who can help you with any questions. If you arrive outside of office hours, one of our international student ambassadors will show you to your accommodation instead.

    Can I bring my parents or relatives?
    Yes you can. We do however have limited spaces available for luggage as well. However, you are responsible for making sure there is enough space in the taxi for passengers and baggage, so we recommend not bringing more than 2 people or a lot of luggage. If any additional space and taxis are required, you will need to pay for the second taxi directly.

      1. By booking the Airport Pick-Up service you are agreeing to UCA's terms and conditions.
      2. Please turn on your mobile telephone when you enter the terminal building at the airport. You will need to provide us with this telephone number when booking.
      3. If you are delayed a long time, you should call your taxi or minubus representative or the UCA Airport Pick-Up international student ambassador (on the telephone number provided after booking). If you are delayed for a long time at customs/passport control/security, and you have not notified us, our representative may leave the airport without you.
      4. If you cannot find your taxi driver in the terminal 1 hour after your plane lands, you should call them or the UCA Airport Pick-Up international student ambassador  (on the telephone numbers provided after booking).
      5. If you are travelling with a guest, you do not have to pay extra but you must make sure that one taxi is large enough for all passengers and luggage. If an additional taxi is required for your guests or luggage, you will need to book and pay for it yourself at the airport.
      6. Under no circumstances should you leave the airport other than with your UCA representative, as this will incur additional charges. 
      7. If you wish to cancel a booking before your arrival date, you should email airportpickup@uca.ac.uk as soon as possible. Cancellations are not accepted later than 7 days before you are due to use the service.
