Replacement certificates & transcripts

Whilst you are studying, interim transcripts can be obtained from your Campus Registry Office. You'll receive a final transcript with your certificate. If you require further copies of your transcript after you graduate, please see the relevant tab below.

Level 3 further education courses - BTEC or Access

If the awarding body for your course was either Pearson (formerly Edexcel) or Laser (formerly OCN), you will need to contact the awarding body direct.

Mislaying a certificate temporarily is not considered sufficient grounds for replacement. Replacement certificates are only available where the original certificate has been irretrievably lost or destroyed - a signed declaration is required in the case of a replacement certificate being ordered.

Whilst we make every effort to provide you with a replacement certificate, certificates may not be available for all courses. The general rules below apply, although there may be exceptions to these.

Replacement certificates are available for the following colleges:

  • West Surrey College of Art & Design
  • Kent Institute of Art & Design
  • Surrey Institute of Art & Design
  • University College for the Creative Arts
  • University for the Creative Arts

Replacement certificates are available for the following colleges for students who previously had an award from UCA in collaboration with the named institution:

  • Croydon College
  • MIT Institute of Design
  • American Intercontinental University
  • Arts Institute Bournemouth
  • Open College of Arts
  • National Institute of Design
  • Barking and Dagenham College

 

Replacement certificates are not available for the colleges below:

  • Maidstone College of Art
  • Medway College of Design
  • Canterbury Art College
  • Canterbury School of Architecture
  • Epsom & Ewell School of Art
  • Farnham School of Art
  • Guildford School of Art

If we cannot provide a certificate, we will provide a letter confirming that a certificate is unavailable for your course. This is free of charge.

If you would like to order a certificate, please email studentrecords@ucreative.ac.uk listing the following information:

  • Your full name during your period of study
  • Your date of birth
  • The course you attended
  • The year you left
  • The address you require the certificate to be posted to - please note that certificates cannot be emailed. Nor do we provide digital certificates.

You will then be sent details of how to pay and a certificate request form to complete, which you must return before your certificate can be sent out.


Postage

Your certificate will be sent by standard post unless requested otherwisePlease note that Student Administration has no control over the postal service.

You may request your certificate to be tracked using the International Trace and Trace service for a small charge.

For urgent certificate requests only, you may wish to arrange for a courier to collect the items from Student Administration. You will be required to arrange and pay for courier service yourself.


Certified Copy of Certificate

UCA will certify a copy of your original certificate free of charge. Simply scan a copy of your certificate and send it to studentrecords@ucreative.ac.uk together with the following information:

  • Address to which you require it to be sent;
  • Whether you require it sealed

The certified copy of your certificate will be sent by standard post. Please note that Student Administration has no control over the postal service.

For urgent certificate requests only, you may wish to arrange for a courier to collect the items from Student Administration. You will be required to arrange and pay for courier service yourself.

What is a transcript?

A transcript is a record of achievement. It shows the individual marks of each unit of each year of your course, as well as confirming your final grade, the year you completed your award and the institution you attended.

For instance, the charge for three transcripts would be £30.

Normally, transcripts take up to 10 working days to prepare. Please be advised that at certain times of year production may take longer due to the large increase in workload at these times (e.g. graduation and enrolment).


Is there a transcript available for my course?

I left my course early. When will I receive my transcript/exit award?

You may not be eligible to receive a transcript/exit award. Your eligibility to receive a transcript depends upon whether you completed and had units verified by a Board of Examiners, while your eligibility to receive a certificate depends upon whether you successfully completed enough credits to receive an exit award.

Transcripts and exit awards are not available until after the Boards have met. If you withdrew from your course after the last Board of Examiners met in the previous year, you will not be eligible to receive either a transcript and/or a certificate until after the next applicable Board of Examiners has met.


What is a Board of Examiners/Exam Board?

There are separate Exam Boards for undergraduate courses and postgraduate courses. There are two Boards for each - a Main Board and a Resit Board. The undergraduate exam boards meet in June and July, whilst those for postgraduate courses meet in September and December. The Board of Examiners confirms the final awards for all students.


I never received my original certificate/transcript - how can I claim it?

It is university practice to send certification (including transcripts) to the current home address of all students following confirmation of an award. All certificates are sent by recorded delivery within two months of the confirmation of that award.

If the university did not have the correct address for you, the item may have been returned undelivered by Royal Mail. In cases such as these, the university charges the cost of re-postage, as it is the responsibility of students to inform the university of any change to their contact details. I only need the dates of my study and my award confirming, rather than a replacement certificate or transcript. 

The university can provide a letter (on headed paper) which confirms your dates of study, the course you attended and the award you achieved. This is free of charge.

I had a debt when I left university and don't think I ever received my final award certificate or transcript.

Any student who has an outstanding debt at the published deadline prior to the relevant Board of Examiners is not eligible to have an award confirmed until the outstanding debt has been paid in full. Once your award is confirmed your certificate will become available.


Does the cost of the certificate or transcript include delivery?

Yes. However, all items are sent by standard post unless requested otherwise. If you wish your item to be sent by International Track and Trace, this does include an extra charge.


Can the university send my certificate/transcript by courier?

If you require your certificate to be sent by courier, you will need to arrange for and pay for this service yourself. The university does not accept responsibility for any item delivered by courier.


The original certificate I received did not have the correct name on it. How can I change this?

The university cannot change the name on any certificate once the results have been confirmed by the university's Board of Examiners. It is your responsibility to ensure that the university knew your official legal name at the time of your period of study.


My name was wrong at the time of graduation.

Prior to the final Board of Examiners students are given the opportunity to check their legal name.


Since my award was confirmed I have changed my name and would like the name on my certificate amended to this.

The university cannot change the name on any certificate once the results have been confirmed by the university's Board of Examiners. Your certificate is required to be under the legal name that you had at the time your award was confirmed.
